Accessing your email and calendar using your mobile device is best achieved by installing the Outlook app from the appropriate app store.

The installation and setup process is as follows:

  • Download the app from the Apple store or from the Android store.
  • Open the app and enter your work email address and then press Continue.
  • Enter your username in the format <login-name>@edu.hants.gov.uk, where <login-name> is the username you use to login to the school network.
  • Enter your password - this is the same password that you use to login to the school network.
  • All other steps in the wizard are optional

Guidance on using the Outlook mobile app is available in the Microsoft Office support pages. After installing the app and following the instructions above, watch the video 'View and use email on an iPhone or iPad' to get started.

Your password will need to be changed every 90 days and it's and important part of keeping your account secure and also the data you have access to.

Passwords need to have some features that make them more difficult for a human or computer to guess. Our passwords must therefore be at least 7 characters in length, they must include a mix of both upper and lower case characters and at least one numeric character. An invalid password would be 'fairguess', but a valid password would be 'FairGue55'.

There are several different ways to change your password. Let's take a look at each.

If your password has already expired

If your password has already expired, Windows will ask you to change it at the Login screen. In this case, you must change your password before you may login.

If your password hasn't yet expired, but will expire soon

If your password hasn't yet expired, Windows will remind you to change it several days beforehand. Click the small popup that appears after you login to change your password.

Changing your password at any time

Finally, you can change your password at any time by pressing Ctrl-Alt-Del keys simultaneously and then select the 'Change Password' option.

PS: Children's passwords do not expire.

Changing your Office 365 (email) password

  • Visit https://www.office.com/signin
  • Login with your username (email address) and current password
  • Open the Settings pane by pressing on the gear wheel at the top right of the page
  • Select 'Change Password'
  • Enter your current password, followed by your new password (twice) and press Submit

All safeguarding incidents are recorded and managed in CPOMS, a safeguarding and child protection management system for schools.

All staff have been granted access to CPOMS and you must complete a registration process before you can use CPOMS to record safeguarding incidents.

Step 1 - Registration (new users only)

Visit the teachers homepage and follow the CPOMS link.

On the login page, do not enter any credentials and instead click the link below the username and password box labelled 'Forgotten your password or using CPOMS for the first time'.

Enter your email address and press the Reset Password button.

Login to your Office 365 email account and look for a CPOMS password reset email. Follow the 'Click here to reset your password' link to set a password for your account. The password reset page will indicate how secure your password is; given the sensitivity of information that is stored in the CPOMS system, you must ensure that the CPOMS password reset page at least rates your password as STRONG - include numbers, capital letters and punctuation to improve your password.

After setting your password, you will be directed to the login page. Enter your email address and the password you have just chosen.

Viewing Historic Incidents

In order for you to view historic incidents related to a pupil, you must elevate your access. Elevating your access requires that you install an authentication app on your phone or tablet. The app download process and subsequent configutation are all explained in the Soft Key Setup instructions that you must follow next. When you have completed the Soft Key setup process, you will be able to Elevate your Access and view additional CPOMS content.

Step 2 - Recording Safeguarding Incidents

Once logged in, your are presented with the CPOMS dashboard. This provides two major functions for you as a staff member:

  • view incidents that you have been alerted to
  • add a new incident

Adding an Incident

Any safeguarding incident involving a child must be recorded on CPOMS. The process is started from the CPOMS dashboard - select the Add Incident link on the purple toolbar at the top of the CPOMS page.

Complete the details as follows:

  • Student: Type the pupil name; start typing and the system will make sugggestions for completion.
  • Incident: Describe the incident you are recording; be accurate and specific; if using a student name, make sure this is spelled identically to the Student or Linked Student fields.
  • Categories: Select at least one category; you can select more than one if appropriate.
  • Linked Students: Type the name of any pupil that may be linked to this incident; this will ensure the incident is presented when viewing linked student records. Add as many linked students as necessary.
  • Body Map: If appropriate, expand the Body Map and add markings to the illustration to indicate where physical evidence has been identified. Note the number that appears with each mark on the Body Map and refer to this number when describing the physical evidence.
  • Date / Time: Enter the Date and Time the incident occurred. These will both default to the current Date and Time.
  • Alert Staff Members: Add to this list any staff members who should be aware of the incident. Staff will be alerted to the incident via their CPOMS Dashboard (the page they see immediately after login) Staff members who have been selected to receive alerts will also receive an email requesting that they login to CPOMS and review the incident.
  • Files: If you have files to support the incident, these can be uploaded here (for example, meeting minutes). Press the upload button or drag and drop a file into the Files box.
  • Agency Involved: Optionally, you can add any agencies that may be involved with this particular incident.

When you have finished adding all details to the Incident, press the Add Incident button to submit the content and record it permanently in CPOMS.

Sharing files on school iPad’s will work differently this year. Our iPads are managed centrally in order to ensure that the same apps and security settings are applied to all devices.

With the introduction of these new settings, connecting a USB cable to a school iPad will no longer allow you to explore the pictures you have taken. This page explains how to share files without using a USB cable.

If you are a teacher and have an iPad for your daily use, your iPad is not subject to the same restrictions as those used by pupils. You can make use of the file sharing described here by using the 'Share Files' link on the Teacher's Homepage.

Following this process is recommended if you want to:

  • Copy media from an iPad for safe storage on the school network
  • Print pictures taken with an iPad

Sharing from your iPad

If you have one or more pictures to share from your iPad, follow these steps:

  • Find and press the ‘Share My Files’ app icon

You will be required to login to the sharing page. Enter the following:

  • Username: guest
  • Password: guest

Once you have logged in, you will be presented with an area in which you can upload files for later collection (on a laptop, for example).

  • Press the Upload button twice (the first time you press the Upload button it will show an upload limit and the second time it will invite you to select photos from your Photo library).
  • Select one or more files from the files in your Photos library
  • Press Done when you have selected all required files

Your file(s) will be uploaded to our sharing server.

If you have chosen to upload multiple files, you may be asked to indicate whether your files should be overwritten. When asked which files you wish to keep, you must select both ’new files’ and ‘already existing files’, as shown in the illustration below. If you don’t, each will be overwritten by the one that follows and you may also replace someone else’s files.

Collecting your files from a laptop or desktop computer

The process of collecting files from a laptop or desktop is similar to the one we have used to upload our files.

  • Follow the Share Files link on the Teachers Homepage
  • Login with the Guest user account (username ‘guest’ and password ‘guest’)
  • Hover the mouse over an individual file and press the Download option; your web browser will save the file for you.

After you have saved you file(s), you can copy them to a safe location on the school network for future use.

Important Considerations

When sharing files using this system, please keep the following in mind:

  • Keep in mind that content you share in this manner can be accessed by others in school.
  • Content shared in this way is only accessible in school; you cannot access these files from home.
  • Content is only stored for the current day; all files will be automatically removed each night.
